The Challenge

A craft bourbon distillery ran a single-barrel ambassador program that let individual customers — usually enthusiasts, restaurant buyers, or small retailers — commission their own barrel selection. It was one of the highest-margin offerings in the portfolio and the most relationship-driven. Ambassadors would bring in their own networks: friends who wanted a private barrel for a wedding, bar managers looking for a unique pours, collectors who wanted something truly one-of-a-kind.

The program worked well in person. At events and in the tasting room, ambassadors would collect contact information from interested parties and submit a form capturing all the details of the potential barrel order. But that’s where the process stalled.

Those submissions went to the distillery’s sales coordinator, who had to manually review each one, check Pipedrive to see if the prospect was already in the system, and then either create a new contact and lead or update an existing one. During busy event seasons, the coordinator might have 20 or 30 of these forms stacked up. She was spending five or six hours a week on data entry alone — time she needed for relationship management and event coordination. Worse, leads sometimes sat unworked for several days because the queue was too long.

The moment an ambassador submits a barrel inquiry form — from an event, the tasting room, or a follow-up email link — the workflow fires. It pulls the prospect’s contact details and barrel preferences, checks Pipedrive for an existing person record, and takes the right action: create a new contact and lead for someone new, or update the existing record and attach a fresh lead for someone already in the database. Either way, the lead lands in Pipedrive tagged with the ambassador source so the sales team knows exactly how this prospect entered the pipeline.

The distillery’s sales team now sees new ambassador-referred leads appear in Pipedrive within a couple of minutes of the form being submitted — no waiting, no backlog.

How It Works

  1. An ambassador collects a prospect's interest and submits the barrel inquiry form, from any location
  2. The form submission triggers the workflow immediately
  3. The system sets the contact and barrel preference variables from the submission
  4. Pipedrive is searched for an existing contact matching the prospect's email address
  5. If the prospect is new: a person record and a linked lead are created in Pipedrive, tagged with the ambassador source channel
  6. If the prospect already exists: the existing person record is updated and a new lead is created under their profile
  7. The sales team sees the lead in Pipedrive within minutes, complete with all submission details and source attribution
